Creating a Proof Checklist

This article is intended to guide the GoProof Admin users on how to create a checklist which can be added to the proof for the Collaborators to complete.
A proof checklist is a valuable tool that helps Collaborators to concentrate and methodically review proofs sent to them, ensuring that any errors which might otherwise be overlooked are caught. This ultimately enhances the quality of the proof.
As the GoProof Admin user, you are the only one with the option to create a tailored and detailed checklists in the GoProof system, which can then be assigned to specific Teams or Projects and utilised by the Proof Senders.

1. Login to your GoProof account and go to the Profile Menu.

2. Select the Checklist option. You will be redirected to the checklist management page.

3. From the checklist management page, click on the Create button to create a new checklist. The checklist form will be displayed for you to complete.

4. The checklist form have required fields marked with an asterisk (*). Ensure you enter the checklist name and select the Team or Project where it will be made available for proof senders to use.

5. Add at least one checklist Group by adding a group name in the field provided and click on the Add button.

6. Enter the checklist option label with an optional description, and click on the Add button.

7. Add more options to your group or add more groups to your checklist as needed.

8. To save your checklist, click on the Done button.

Checklist Settings
  • Active - this option is selected by default. When one or more checklist form is activated, the checklist step will appear in the proof sending process and the active checklist(s) will be available to the proof sender to use.
  • Approval - when this option is selected, a completed checklist is required before a proof can be approved. If it is not completed when the Approve button is clicked, a user warning will appear informing them to do so.
  • Request changes - when this option is selected, a completed checklist is required before a proof can be sent back to the proof sender. If it is not completed when the Request Changes button is clicked, a user warning will appear informing them to do so.
  • Show on load - when this option is selected, the checklist panel will be on display by default when a user opens the proof. If this option is unselected, it will be the comments panel that will be on display by default.

Pro tip! When there are embedded URLs in the proof, they can be extracted and added to the checklist for the Collaborators to validate/mark as checked during their proofing round. This feature can be configured in the company settings here.
