Using a Proof Checklist

This article is intended to guide Collaborators in using the checklist added to a proof sent by the Proof senders.
A proof checklist is a tool used to ensure that all necessary steps, conditions, or assumptions are accounted for and properly addressed. As you work through the proof, refer back to the checklist to confirm that each item is addressed, marking off items as you complete them. Before concluding, review the checklist to verify that all aspects of the proof have been thoroughly covered, ensuring completeness and accuracy.

Before proceeding, ensure that you are familiar with the GoProof basics of reviewing a proof. If in doubt, please visit this link for guidance.

1. Open the proof from your GoProof email or GoProof chat notification link. You will be redirected to the proof editor.

2. On the top-right corner, click on the Checklist icon. The checklist panel should open.

3. The checklist panel will display the items/tasks that you need to complete.

4. To mark items/tasks off as checked, simply tick on the checkboxes.

Checklist panel details
  • User account avatar - when you mark off an item, your user account avatar is displayed next to the item/task, signifying that you were the one who checked it. This visual indicator helps track progress and ensures accountability, allowing others to see who has contributed to each step.
  • Progress bar - each time a checklist item is marked as checked, the progress bar is automatically updated to reflect your progress.
  • Timestamp - when an entire group of checklist is checked, a timestamp is displayed indicating the exact time of completion. This feature helps track both ongoing progress and provides a clear record of when milestones were achieved.
  • Pop-out button - clicking on this button on the top-right side of the checklist panel will allow you to move the panel to its own window, outside of the right-hand side pane. You can move it around the proof editor or change its size. Alternatively, use the dock button to move the checklist panel back to its default location on the right-hand side pane.
  • Toggle-arrows - use these arrows to expand or collapse the checklist groups instead of having to scroll through the long list of items/tasks, focusing only on what is relevant to you at the moment.

Pro tip! Depending on the settings configured in the checklist, you may need to complete the entire checklist before taking any further actions, such as approving the work or sending it back to the Proof sender for changes. This ensures that all necessary information is reviewed in its entirety before moving forward with the approval or revision process.In this case, a warning prompt will appear informing you to do so if you have not met this condition when clicking on the Approve button and/or the Request Changes button.
